Attio vs Airtable: when to stop building your own CRM
Almost every team that ends up on Attio came from a spreadsheet, and a large share of those spreadsheets were Airtable bases. Airtable is an excellent database. The question is whether a database you have to assemble into a CRM is still the right tool once the business depends on it.

Short answer
Airtable is a better database than Attio and a worse CRM. It has no native email sync, no activity timeline, and no pipeline reporting out of the box, so you build and maintain all of that yourself. Airtable is right while the CRM is a side project. Attio is right once someone's job depends on it being accurate.
What a homemade Airtable CRM costs you
The Airtable CRM is usually built by the most capable operator in the company, and it is usually good. That is the trap: it works well enough that nobody questions it, and the maintenance cost stays invisible because it is one person's time.
The costs show up later, and they show up in the same places every time.

Where Attio wins
Email and calendar that sync themselves
This is the single biggest gap. Airtable has no native email sync, so either someone logs conversations by hand or the CRM never reflects reality. Attio syncs Gmail and Outlook natively and builds an activity timeline on every record without anyone doing anything.
A CRM that works on day one
In Airtable you design the schema, build the views, write the automations, and maintain all of it. Attio ships with people, companies, deals, and relationships already modeled. You shape it rather than build it, and there is no single person the whole system depends on.
Reporting built for pipeline
Airtable gives you grouped views and summary bars. Weighted pipeline, stage conversion, and cohort revenue reporting are all buildable in principle and painful in practice. Attio produces them because it knows what a deal is.
No record ceiling to plan around
Airtable bases have per-plan record limits that an active CRM reaches faster than teams expect, and the workarounds (archiving to another base, splitting tables) make the data harder to use. Attio's free plan alone covers 50,000 records.
It survives the person who built it
The homemade base is only as durable as the operator who designed it. A standard CRM with standard objects can be handed over, documented, and staffed. That matters more than any single feature once the company is past its first few people.
Where Airtable genuinely wins
Airtable is more flexible than Attio, full stop. If you need to model something that is not a customer relationship, Airtable will do it and Attio will not. Inventory, content calendars, research databases, internal ops tooling: keep those in Airtable.
Airtable's interface builder and app layer are also genuinely good, and its free tier goes further than Attio's for non-CRM work. The argument here is narrow: Airtable is the wrong shape for a CRM specifically, because a CRM needs email, activity history, and pipeline reporting as native primitives rather than things you assemble.

AI is where the gap is widest
This is the difference most teams underestimate. Airtable AI generates content inside a field: you prompt it, it writes text into the cell. Useful, but it is a writing assistant living in a database.
Attio's AI runs on the record as structured data. A Research attribute finds a company's headcount, funding and category and writes them into fields you can filter and report on. A Classify attribute reads the record and tags the segment. Nobody has to click into a cell and prompt; the CRM enriches and scores itself in the background.
In Airtable, AI is something you do to a cell. In Attio, AI is something the record does to itself.
Pricing, and the cost of the duct tape
Airtable's paid plans start around $20 per seat per month on Team billed annually, with Business around $45 and Enterprise Scale at custom pricing. There is a capable free tier, and record ceilings rise with the plan up to roughly 500,000 records per base.
Attio is free for up to three seats with the standard objects, then $35 per user per month on Plus and $79 on Pro, which adds custom objects and formula attributes.
At the entry tier Airtable is cheaper per seat. But the comparison is not seat-for-seat, because the tools are not doing the same job. Airtable-as-a-CRM carries the Zapier or Make subscription wiring it to your inbox and your enrichment, plus the hours somebody spends maintaining the structure. The question is not which line item is smaller; it is which total is smaller once you count the duct tape.
Choose Airtable if, choose Attio if
Airtable earns its reputation — it is the most flexible tool a small team can pick up, and plenty of good CRMs started life as an Airtable base. Teams move not because Airtable failed but because the base succeeded so well it became the CRM, and a CRM has jobs a database does not: see your inbox, enrich itself, branch its workflows, report off its own structure. If your base is one more formula chain away from being a maintenance project, that is the signal.
- Airtable: the tool tracks many kinds of data and sales is only one of them, you want maximum flexibility and are happy owning the structure, the sales motion is light, or you are building internal tools and interfaces on a database.
- Attio: the base has become the real system of record for sales, you need email and calendar threaded onto every contact automatically, you want AI running on records as fields rather than as a cell assistant, the workflows have outgrown linear automations, or you want one workspace for the whole go-to-market team.
FAQ
Can Airtable really work as a CRM?
Yes, and for small teams it often does. The honest limit is email: without native sync, records only reflect what someone remembered to log. That gap is what eventually makes the data untrustworthy.
Can we keep Airtable for other things?
Absolutely, and most of our clients do. Move the customer relationships to Attio and keep Airtable for the operational bases it is genuinely better at. They connect through the API, n8n, or Make.
How does an Airtable base map to Attio?
Tables become objects, records become records, fields become attributes, and linked-record fields become real references. The design work is deciding which tables were real entities and which were views someone built to work around a limitation.
Will we lose our Airtable automations?
The ones worth keeping get rebuilt as Attio automations or in n8n. A large share of automations in a homemade CRM exist only to compensate for the tool not being a CRM, and those simply disappear.
What about our Airtable interfaces?
Attio's views and list layouts cover most of what interfaces were doing for CRM work. Where you need a genuine custom app, keep the Airtable interface and point it at Attio through the API.
How long does an Airtable to Attio migration take?
One to two weeks. Airtable exports cleanly, so most of the time goes into schema design: deciding what your homemade base was actually trying to model.
Is Airtable a CRM?
Not by design. It is a flexible relational database, and plenty of teams build a CRM inside it that works for a while. It becomes a strain when the base needs CRM-specific things it was never built for: inbox threading, record-level AI, and branching workflows.
Can Airtable AI do what Attio's AI does?
Partly. Airtable AI writes text into a cell when you prompt it. Attio's AI runs as attributes on the record, researching and classifying in the background, with results you can filter, sort and report on. They are different ideas of what AI in a database means.
How hard is it to move from Airtable to Attio?
It is a structured migration, not a one-click import. Bases map to objects, linked records become real relationships, and automations get rebuilt — usually as fewer, simpler branching workflows. Most teams use the move to drop the workarounds the base accumulated.
